One of the keys to effective communication is the ability to reach each individual with information that is truly relevant to them. The more we know about the client, the more we can offer content that not only captures their attention but is also meaningful to them.

This approach to personalization, which ensures each message is impactful and relevant to its recipient, has not always been applied with the same intensity in the internal communication of companies. However, it is equally crucial in this area. Organizations that adopt careful content curation, ensuring that employees receive only the information they truly want and need, achieve not only a greater impact on them but also strengthen the corporate culture and commitment to the brand.

Therefore, aware of the importance of offering employees interesting content, at Syntphony Employee Intranet we have taken a step forward. We have developed an innovative functionality that complements and extends the capabilities of Sharepoint, allowing the creation of what is known as Audiences. This new functionality allows sharing with employees content adapted to their profile and interests, thus elevating internal communication to another level.

In this article, we will explain what Audiences are and how this useful functionality of Syntphony Employee Intranet works.

What are the Audiences in Syntphony Employee Intranet

When we talk about Audience, we refer to something more than just grouping individuals by characteristics. It represents the ability to accurately segment the content that each employee will receive, forming specific groups defined by a range of employee characteristics, such as their age, position, department, or location, among others.

In a model without Audiences, information is distributed generally, without considering its specific relevance to each employee. However, thanks to Audiences, we can direct content to specific groups of employees, such as a group of newly hired employees, or a group that is part of a recently established department

This new functionality improves the personalization of content and ensures that information reaches those profiles that are truly interested, strengthening communication among collaborators.

The implementation of Audiences has a direct and significant impact on the employee experience. By personalizing internal communication, each employee receives information that is relevant and specific to their role and interests. This increases employee satisfaction and engagement.

In today’s dynamic labor market, personalized internal communication is not just an improvement in terms of efficiency; it becomes a critical factor in fostering a highly motivated and loyal team, key to long-term talent retention.

How do Audiences work in Syntphony Employee Intranet?

The implementation of content tailored to specific profiles and interests requires an integration of employee data from digital sources, such as Workday or Success Factors, allowing this information to be used for the creation of target Audiences.

Our functionality seamlessly integrates with any digital data source and is fully adaptable to the needs of each organization, enabling administrators to add, remove, or modify employee characteristics, such as their work experience or geographic location, to define the necessary Audiences for an accurate representation of each collective.

For example, consider the implementation of a new training and professional development program. Instead of sending the same information to all employees, with the use of Audiences, we can segment and direct this content much more efficiently. We could create an Audience for employees with less than a year in the company, who could benefit from induction programs, mentoring, and basic online courses. Meanwhile, for employees with more than five years of experience, another Audience could be formed that receives information about advanced skill workshops, leadership opportunities, and specialized professional development programs. In this way, each group receives information and resources tailored to their level of experience and career needs, ensuring that the training program is as relevant and enriching as possible for everyone.

Therefore, this Audience functionality possesses a wide capacity for personalization based on various conditions, allowing for more effective connection and communication with each employee.

Audience Governance

The creation of Audiences is limited to central administrators. This measure ensures effective governance of Audiences, preventing the creation of redundant or unnecessary groups by users. Additionally, the Audience functionality goes beyond simple content distribution. It also allows for the restriction of visibility in specific sections of pages, directed at selected Audiences. While users have the capability to draft content and assign it to existing Audiences, the responsibility of creating new ones is reserved exclusively for administrators. This governance structure ensures that information is distributed in an orderly and coherent manner, maintaining the integrity and effectiveness of internal communication.

In conclusion, Syntphony Employee Intranet’s Audience functionality represents more than just a simple communication tool; it is a fundamental pillar in the strategy to improve the overall employee experience. By focusing on personalization, we are not only responding to the immediate communication needs but also investing in satisfaction, loyalty, retention, and ultimately, in the long-term success of our employees.
